Receipt voucher fields explained
- Business name and logo: the party that received the money. The logo is optional.
- Received from: the full name of the paying person or company, as on the invoice.
- Amount and currency: use two decimals when there are halalas, e.g. 1250.50.
- Amount in words: filled automatically, e.g. "One thousand two hundred and fifty Saudi Riyals and fifty Halalas only".
- Payment method: cash, bank transfer, card, or cheque.
- Purpose: what the payment is for, such as invoice number or rent for a month.
- Date: the day the money was actually received, not the invoice date.
- Receiver: the employee who received the money and signs the voucher.
How to use the template
Everything happens in your browser. We do not store customer names or amounts, so keep the downloaded file. If you need an archive, sequential numbering and QR verification, that is what the Sanadat platform provides.
- Enter your business name and optionally upload a logo (it stays on your device).
- Enter payer, amount, currency and payment method.
- Write the purpose, choose the date and the receiver name.
- Check the live preview.
- Click Download PDF, then print or send it.
When to use the blank template
A blank template is useful where there is no phone or connection, or as a backup book. Print several copies, number them in sequence by hand, and keep a copy of every voucher. Manual numbering is error-prone, so review the sequence weekly.
Common mistakes
- Amount in words not matching the figures.
- Leaving the purpose empty, so nobody knows which invoice was paid.
- Using the invoice date instead of the receipt date.
- Two vouchers with the same number when several books are used.
- Missing cheque number and bank for cheque payments.
From a free template to a complete voucher system
A free template is enough for one or two vouchers. Once you have collectors, branches and hundreds of vouchers a month, you need automatic numbering, storage, QR verification and daily collection reports. Sanadat provides those, plus per-user permissions and accounting journal exports. You can import your customers from a CSV or Excel file in minutes.
Filling in the payment method correctly
The payment method determines where the money should appear in your books. Cash goes into the cash box and must match the end-of-day count. A bank transfer appears on the statement, so add the transaction reference to the purpose. Card or mada payments show up in point-of-sale settlements a day or two later.
For cheques, record the cheque number and bank, and remember that the payment is only complete once the cheque clears. Some businesses write "under collection" in the purpose until then, or delay confirming collection in their system until the funds arrive.
Ready-made examples for the purpose field
The more specific the purpose, with a reference number, the easier it is for both the accountant and the customer to match the voucher to an invoice or contract.
- Settlement of invoice 1045 dated 2026-10-01.
- First instalment of an annual maintenance contract.
- Rent for November, shop no. 12.
- Partial payment towards the account balance.
- Deposit for order 778, deductible from the invoice.
- Refund of a rented equipment deposit.
Keeping your downloaded vouchers organised
With the free template, create a folder per month and save files with the date and customer name, such as 2026-10-28-alnoor.pdf, and keep a cloud backup. In Sanadat every voucher is stored automatically and searchable by number, customer, amount or date, and the full list can be exported as CSV at any time.
Tips for printing a professional receipt
Print on plain white A4 paper of a reasonable weight, and in colour if your logo has colour. Before handing the voucher over, sign the receiver box in blue ink so the original is easy to tell apart from a photocopy, and stamp it if your business uses an official stamp. Keep a copy or the original PDF in your archive before giving the printed voucher to the customer, and file it with the related invoice so the payment can be traced quickly later.
