What is an electronic receipt voucher?
A receipt voucher (سند قبض) is a document proving that one party received a specific amount from another, on a given date, for a stated purpose. When it is issued from a digital system instead of a carbon-copy book, it becomes an electronic receipt voucher. It shows the payer's name, the amount in figures and in words, the payment method, the purpose, the receiver's name and signature, and the business details.
The key difference is where the record lives. A paper voucher sits in a drawer; an electronic voucher is stored in a central database. You can search for it years later, see who issued it, share it instantly with the customer, and build daily collection reports without typing numbers twice.
Why businesses move from paper books to electronic vouchers
Paper books work until you have several collectors or branches. Then the familiar problems appear: a lost book, a duplicated voucher number, an unreadable carbon copy, or an amount in words that does not match the figures. Each one costs reconciliation time and sometimes a dispute with a customer.
- Automatic sequential numbering per voucher type and year.
- Automatic amount in words in Arabic and English.
- A QR code on every voucher that opens a public verification page.
- Instant sharing as PDF or via WhatsApp.
- An activity log showing who issued or cancelled each voucher.
What every receipt voucher should include
- Business name, logo and contact details, plus VAT number if registered.
- Sequential voucher number and the date and time money was received.
- Payer name (received from).
- Amount in figures with currency, and the amount in words.
- Payment method: cash, bank transfer, card/mada, or cheque with number and bank.
- Purpose of payment, such as settling invoice 1042 or an advance payment.
- Receiver name and signature, and company stamp if required.
How QR verification protects your vouchers
When a voucher is issued in Sanadat, a digital fingerprint is calculated from its key data and linked to a unique verification code printed as a QR. Scanning it opens a verification page on the Sanadat domain showing the voucher number, amount, date, business name and status (issued or cancelled). If someone edits the amount on a printed copy or a photo, it will not match the verification page.
To protect privacy, the public page shows only the minimum data and partially masks the counterparty's name.
Is a receipt voucher a tax invoice?
No. A receipt voucher proves that money was received; a tax invoice documents the sale and must follow Saudi e-invoicing requirements. Many businesses issue the invoice from their accounting system and then issue a receipt voucher when they collect payment, referencing the invoice number. Sanadat complements your accounting software and exports journal entries as CSV or Excel for import.

Security and data protection
Each business's data is isolated at the database level, so a user from one company can never see another company's vouchers. Issued vouchers are locked against editing, and the public verification page shows only the minimum information. Owners can export all of their company data at any time, and every sensitive action, such as changing permissions or cancelling a voucher, is recorded in the activity log with the user's name and time.
